Minutes (6-27-07)

The board of the Hub City Writers Project met June 26, 2007. Joining the staff for the first time was Alix Refshauge, who will be coordinator of the AIR program and development director for Hub-Bub. The board received news about the South Carolina Novel Prize and the upcoming Green Screen film series.

I.                    May 22nd, 2007 minutes were approved without amendment.   

II.                 Alix Refshauge, new coordinator of the AIR program, was introduced.

III.               Financial Report (Betsy):

a.       HCWP is roughly $17,000 in the black at the six-months point of the year.

b.       Hub-Bub is awaiting checks from one of the AIR donors and the City of Spartanburg annual grant and will be back on budget when those arrive.

IV.              President's/Operations Report (Melissa):

a.       Melissa reminded the Board about the need for 100% participation from the Board in giving to HCWP/Hub-Bub.  When we write grants, the level of giving participation of the Board is one of the first things grantors want to know.  They figure they won't support an organization whose own Board isn't supporting it, too.

b.      There are some vacancies on the Board and the operations committee will soon consider nominations. HCWP & Hub-Bub are putting together a new Policies & Procedures manual.  If you have copies of other nonprofits' manuals that can be copied, please let Betsy know. 

c.       On July 25th, Hub-Bub will host "Printmakers," a show curated by Andrew Blanchard of Converse.  This event is looking for a sponsor.

d.      Thank you to David Dedmon Dentistry for hosting the art event tonight.

 

V.                 Executive Director's Report (Betsy)

a.       Books in the Pipeline: Emily is putting the finishing touches on the SMC book.  An intern from Wofford will start in the Fall to work on Stars Fell. 

b.      HCWP will be the publisher of the SC Novel Prize in a partnership with the SC Arts Commission and the SC State Library.

c.       Rachel Harkai will be working on an anthology of area poets, which will include podcasts of the poets reading their work.  Betsy is trying to secure money from the Arts Partnership for this project.

d.      Construction has ceased on Restaurant Brasserie Ecosse and we are waiting to see whether this will get restarted. around town at this point, but is something Board members should know.

e.       August 3-5 is the annual Writers Conference.  We need volunteers to staff the registration desk and sell books, etc. Thirty-five people are already signed up.  We are expecting 55.

f.        A week from Friday, Betsy will take her longest ever vacation:  an extremely well-deserved, almost 2 weeks in Alaska.  Bon Voyage, Betsy & John!

g.       Sara Hamilton is back in the office.

 

VI.              Hub-Bub Report (Stephen):

a.       The Concert Series has some big acts coming.  We are really pushing the live music this summer. 

b.      Green Screen Series will be a Film Series co-sponsored by area nonprofits -- Partners for Active Living, Upstate Forever, and the Spartanburg Nutrition Council -- to show documentaries related to those their missions and then to host panel discussions afterward.

c.       Stephen is looking to put together a College Advisory Committee (2-3 students from each institution who are interested in the arts and would like to be involved with marketing Hub-Bub events on their campuses).  One idea is that Hub-Bub might host one College Event/month with the College Advisory Committee picking the band and marketing the event on their respective campuses.  Perhaps fraternities and sororities would be willing to sponsor.  Also, there are some FUN funds available on some campuses that could possibly be added to the budget for those events. Stephen pointed out 2 formidable barriers to success for these events:  Hub-Bub 1) carding; and 2) charges - two things college students abhor.

 

VII.            Artists in Residence (Alix):

a.       The new Artists in Residence opening show opens tonight.

b.      There are a lot of ideas and energy now regarding community involvement of the AIRs.  Some projects that may come about are:

                                                               i.      Arielle doing some cool things with the SCSDB.

                                                             ii.      Nicholas working with COLORS and doing a t-shirt design contest with them.

                                                            iii.      Rachel working on an oral history project with the Boys & Girls Clubs.

                                                           iv.      Derya working on a community knitting project.
